What’s New In Microsoft Teams In August 2022

It’s that time of the month again when we discuss the many changes and updates in Microsoft Teams. But what does this mean for you and your organisation? Read our article below to find out.

1. Microsoft Teams Auto-Transcription

How can this help your organisation?

If transcription is permitted by admins, it will now also be turned on with recording once the meeting starts when the meeting organiser selects the Record automatically meeting option to On. This is expected to happen in late August and the rollout is expected to be completed by mid-September.

2. Get Adobe PDF experience in Microsoft Teams

How can this help your organisation?

You can now make Adobe Acrobat the default program in Microsoft Teams for viewing and editing PDF files. All PDF files will now open immediately in the Teams Acrobat app from the chat, channel, and files apps after these are complete. Your end users can view, search, comment on, and annotate PDF files without having an Adobe Acrobat subscription or an Adobe ID. However, tenant users will require an Adobe Acrobat subscription to create, organise, combine, or export a PDF. You can expect this to happen early September 2022.

Admins can set the Acrobat app as the default PDF viewer in Teams by following the below 2 steps.

  1. Setup the Acrobat app to work in a tenant:
    1. Log in to Teams admin center.
    2. In the left panel, go to Teams app > Manage apps.
    3. Search for the Acrobat app, then click the app to go to the app details page.
    4. All apps are by default allowed; hence, no action is needed. If a preexisting admin setting, an app permission policy, or an org-wide app setting has blocked the app, make sure the app is allowed.
    5. On the Permissions tab, select Review permission requested by the app, then click Accept to grant consent.
  2. Make the Acrobat app available on users’ Teams client
    1. Log in to Teams admin center.
    2. In the left panel, go to Teams app > Setup policies.
    3. Select Global (Org-wide default) and then select Edit.
    4. Under Installed apps, select Add apps.
    5. Search for Acrobat app, add it, and save the policy.
    6. If you want to selectively allow the Adobe Acrobat app for a few specific individuals or for a group, you can assign a custom app permission policy.

3. Enable Q&A in Teams Meetings via Meeting Options

How can this help your organisation?

Through Meeting Options, your Meeting Organisers and Co-Organisers can now make Q&A available for their meetings. If they want to have structured discussions during their meeting, they can toggle “Enable Q&A” to yes. Meeting participants can join their Teams meeting, click the Q&A icon, ask questions, and participate in the discussion when Q&A is enabled. This started in mid-July and has rolled out by late July.

4. Custom Download Location for Files in Teams

How can this help your organisation?

Currently, Microsoft Teams only allows users to download files to the Downloads folder. We are introducing a new functionality that will let users choose a download destination for each download or select their preferred download location when downloading files from Teams.

Users can now modify the default download destination to their desired download site in the Files settings section to enable this capability.

Additionally, there is a toggle that, when turned on, will ask the user to choose the download destination for each file. This will happen early September and expect the rollout to be completed by late October.

5. Leave a Meeting from All of Your Devices

How can this help your organisation?

There have been issues with a Teams user being able to completely disconnect from a conference or call while doing so from numerous personal devices. With the addition of this new functionality, multi-device users will now see an option during a call that, if chosen, will prompt them to end the call or leave the meeting. This will happen early August and is expected to be completed by early September.

6. Deploying Teams at Scale

How can this help your organisation?

In order to help your administrators, deploy and manage teams at scale, Microsoft is developing a solution. Its preview is in late August and expects to be completed by mid-September.

Here is a summary of the tools now available for building and overseeing numerous teams simultaneously, as well as what Microsoft has planned further forward.

  1. Create up to 500 teams using pre-built templates or your own custom templates via Teams PowerShell cmdlet.
  2. Add up to 25 users to teams as owners or members.
  3. Manage teams at scale by adding or removing users from existing teams.

Stay notified through email, including completion, status, and errors (if any). You can choose to notify up to five people about the status of each batch of teams you deploy. Team owners and members are automatically notified when they’re added to a team.

1. Quiet Time Settings in Viva, Teams, and Outlook

How can this help your organisation?

Viva Insights will provide the option to configure quiet time to suppress messages from Outlook and Teams mobile applications outside of business hours, which can assist establish stronger boundaries and safeguard personal time. Users will be able to schedule quiet time straight from the Teams mobile and Outlook mobile applications as well as receive customised insights through the Teams’ Viva Insights App. This will happen late September and is expected to be completed by late October.

1. GDAP Timeline Updates

How this can help your organisation?

  • Tool to create GDAP relationship with Azure Active Directory (AD) roles in bulk
  • Microsoft will stop creating DAPs when a new customer or reseller relationship is created
    • September 30, 2022
    • You might have to change your customer onboarding workflow here if part of your steps is creating DAP relationships
  • Microsoft will transition active DAP connections to least privileged GDAP roles starting October 31st, 2022

 

2. Microsoft Teams Rooms Pro

How this can help your organisation?

Microsoft will begin selling Microsoft Teams Rooms Pro on September 1, 2022, replacing the company’s prior Standard and Premium packages.

Key Details:

  • The price will be $40/USD/Month
  • There will be two offerings, Pro and Basic
  • Basic is free with the purchase of a Microsoft Teams Device (and geared towards SMB)
  • This license is only available via direct as part of the hardware setup flow and isn’t part of our Volume Licensing programs or sold through the CSP channel

Currently Licensing on Standard Premium can exist until the next anniversary date
